Questions to Ask a Wine Farm Wedding Venue Before You Book

The questions to ask a wine farm wedding venue: real capacity, what is included, suppliers, curfew, backup power, rain plan, deposits and price year.

Last checked: 5 October 2026

A wine farm can look perfect on a sunny site visit and still hide costs, restrictions or logistics that only show up in the contract. The right questions, asked early and answered in writing, protect your budget and your day. This guide groups the questions that matter most for Western Cape wine farm venues, explains why each one matters and ends with a checklist you can copy into your notes.

How we checked this

Most of this guide is practical planning advice. Where we mention a legal or tax point, we checked it against SARS (VAT), the Consumer Protection Act 68 of 2008, the Marriage Act 25 of 1961 and the Western Cape Liquor Authority. We don't quote venue prices or capacities here. Links are under Sources.

If you're still building a shortlist, start with how to choose a wine farm wedding venue, then come back to this list for site visits.

1. Availability and real seated capacity

Advertised capacity is often a maximum for one layout. Ask:

  • Is our date available, and can you hold it while we decide? For how long, and does a hold cost anything?
  • What is the seated capacity for a dinner with a dance floor, a band or DJ, a cake table and a bar in the room?
  • Does that number change with round tables versus long tables?
  • What's the capacity of the ceremony space, and is it the same as the reception space?
  • Is there a minimum guest number or minimum spend, and does it change by season or weekday?

Ask for a floor plan with your layout drawn in. It's the quickest way to see whether the number is real.

2. Inclusions, VAT, service charges and corkage

Two quotes with the same headline price can be very different. Ask:

  • Exactly what's included: tables, chairs, linen, crockery, glassware, staff, set-up and clean-up?
  • Is VAT included? South Africa's standard VAT rate is 15% (SARS). From 1 April 2026 the compulsory VAT registration threshold rose to R2.3 million a year, so some smaller suppliers may not charge VAT at all. Check every quote says whether VAT is in or out.
  • Is there a service charge or gratuity added to food and drinks? Is it a percentage, and of what?
  • Can we bring our own wine or MCC? If so, what's the corkage charge per bottle, and does it apply to sparkling wine too?
  • Do we have to buy wine from the estate? Can we taste the wedding wines beforehand?
  • Is there a cake-cutting or plating fee if our cake comes from outside?
  • Do you hold a liquor licence for the venue? Who runs the bar, and what are the bar hours?

Our wine farm wedding cost guide covers typical line items.

3. Supplier policy and preferred lists

  • Do we have to use your caterer, or can we bring our own?
  • Is there a preferred supplier list? Is it compulsory or a recommendation?
  • Is there a fee for using suppliers who aren't on the list?
  • What are the delivery and set-up windows? When must suppliers be off site?
  • Do outside suppliers need public liability insurance or a site induction?
  • Is there an on-site coordinator on the day, and what exactly do they do?

A venue coordinator usually looks after the venue's side of things, not your whole day. Our guide to a wedding planner vs a coordinator in South Africa explains the difference. If you want full control over suppliers, look at self-catering wedding venues in the Western Cape.

4. Curfew, noise and overtime

Rural venues often have neighbours, farm workers' housing or guest cottages nearby. Ask:

  • What time must music stop? What time must the bar close? What time must guests leave?
  • Is there a noise limit or sound-level monitoring? Are live bands allowed, or only DJs?
  • Can we run overtime? What's the hourly overtime charge, and when must we decide?
  • Is there an after-party option, and where?

The Western Cape Liquor Authority notes that trading hours for licensed premises depend on municipal by-laws, so the bar's closing time may not be the venue's to change. Build your timeline and transport around the real curfew.

5. Backup power and load-shedding plan

Power cuts can affect lighting, sound, kitchens, cold rooms and water pumps. Ask:

  • Do you have a generator or battery backup? Does it run the whole venue, or only part of it?
  • Does it cover the kitchen, cold storage, the bar, toilets and water pressure?
  • Is it included, or is there a fuel or hire charge?
  • Does the switchover happen automatically, and how long does it take?
  • Can the band's or DJ's equipment run on backup power?

Even when there's no scheduled load-shedding, an outage on the night is a risk worth planning for.

6. Rain and wind plan

The Western Cape has wet winters and windy summers, so every outdoor plan needs a fallback. Ask:

  • What's the indoor backup for the ceremony, and does it fit our full guest count, seated?
  • If it's the same room as the reception, how long is the turnaround, and where do guests wait?
  • Do you have a marquee or stretch tent option? Who supplies it, and what does it cost?
  • Is there a sheltered spot for photos and canapés if the south-easter is blowing?
  • Who makes the call to move indoors, and by when?

Our wedding rain and wind plan for the Western Cape goes through this in detail.

7. Accommodation and exclusive use

  • Is there accommodation on site? How many rooms or beds, and is it included or booked separately?
  • Do we have to book all the rooms? Is there a minimum stay?
  • Is the venue exclusive use on our date, or will other guests, tastings or a restaurant be open?
  • Is another wedding booked the day before or after? How does that affect set-up and clean-up times?
  • Where can the couple get ready?

8. Accessibility and parking

  • Is there step-free access to the ceremony, reception, bathrooms and accommodation?
  • What are the surfaces like (lawn, gravel, cobbles)? Guests in heels and older guests will notice.
  • How far is the parking from the ceremony, and is it lit at night?
  • Can coaches and shuttles get to the drop-off point? Is there a turning area?
  • Is there mobile signal on site, for guests calling a ride home?

9. Ceremony and inclusion

  • Can a legal ceremony take place on site? Section 29(2) of the Marriage Act describes specific kinds of places and "open doors", so ask the venue what marriage officers usually do there, and confirm with your own marriage officer.
  • Do you welcome all couples? Same-sex couples can ask this directly; see our guide to same-sex weddings in South Africa.
  • Are there restrictions on confetti, candles, fireworks, sparklers, drones or open flames?

10. Deposits, cancellation and annual price increases

  • How much is the deposit, and when are the next payments due?
  • Is the quoted price fixed for our wedding year, or will it rise with the venue's annual increase? Which year's rate card is this?
  • What's the cancellation policy? What happens if we postpone?
  • What if the venue has to cancel?
  • Do you require a damage or breakage deposit, and when is it refunded?

The Consumer Protection Act gives consumers the right to cancel an advance booking. A supplier may ask for a reasonable deposit and charge a reasonable cancellation fee. Whether a fee is reasonable depends on the booking, the notice you gave, whether the supplier could rebook the date, and industry practice. No cancellation fee may be charged if you can't honour the booking because of death or hospitalisation. If a clause looks harsh, ask about it before you sign, and get legal advice if needed.

Frequently asked questions

What is the most important question to ask a wedding venue?

Ask for the real seated capacity with your dance floor and band in place, and for the indoor backup plan for that same number. Those two answers rule out more venues than any other question.

Do wine farm venues let you bring your own wine?

Policies vary. Some require you to buy the estate's wines, and others allow your own wine for a corkage charge per bottle. Ask whether corkage applies to MCC too.

Are wedding venue quotes in South Africa VAT-inclusive?

Not always. VAT is 15% for registered vendors, and some smaller suppliers aren't registered. Check each quote states whether VAT is included.

Can a venue keep my deposit if I cancel?

Under the Consumer Protection Act, a supplier may charge a reasonable cancellation fee, judged against factors such as your notice period and whether they could rebook the date. No fee may be charged if you cancel because of death or hospitalisation. Read the contract and get advice if unsure.

Should I ask about load-shedding?

Yes. Ask whether the venue has a generator or battery backup, what it covers and whether there's a charge. More answers are in our wine farm wedding FAQ.
